The City of Worcester is seeking qualified applicants for the position of Staff Assistant 3 for the Budget Division within the Office of Administration and Finance. Under the direction of the Chief Financial Officer (CFO), the Staff Assistant 3 provides administrative support for the CFO while also supporting the planning, analysis, execution, and completion of projects within the department.  The position engages in research, data collection, financial analysis, compilation, presentation, and project management responsibilities as assigned by the CFO or the Budget Director. The Staff Assistant 3 works closely with employees from the Office of Administration & Finance, other internal City departments and external partners and vendors to improve financial systems, strengthen governance, and advance strategic initiatives.

ESSENTIAL ELEMENTS:

  • Assist the CFO with internal and external inquiries, scheduling, administrative transactions, and drafting of documents.
  • Assist with the development and implementation of projects related to budgeting, financial management, capital planning, and operational improvement.
  • Prepare and interpret financial reports and analyses
  • Coordinate internal and cross-departmental initiatives and teams to accomplish project goals, timelines, and deliverables.
  • Monitor project performance using established metrics and work with the CFO to troubleshoot issues and adapt plans as needed.
  • Prepare clear project documentation, including work plans, progress reports, and presentations for leadership.
  • Assist in evaluating business processes and recommending improvements to financial systems and workflows.
  • Facilitate meetings, gather requirements, and provide structured follow-up to keep teams on track.
  • Contribute to a culture of continuous improvement, transparency, and effective public stewardship.
  • Complete related work as required and assigned.

 REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to work independently with minimal supervision.
  • Ability to maintain a highly reliable and punctual attendance record while managing time effectively.
  • Proficient in Microsoft Office Suite.
  • Experience with editing documents in a word processing application and entering data into databases and/or Excel.
  • Experience working in a financial setting and/or basic financial background.
  • Excellent verbal, written and interpersonal communication skills.
  • Ability to manage multiple priorities/multi-task in a fast-paced environment.
  • Ability to remain professional under all circumstances.
  • Ability to maintain confidentiality.
  • Ability to work with diverse groups.
  • Ability to prepare and interpret financial reports and analyses
  • Regular onsite attendance is required.
  • Bachelor’s degree in public administration, finance, business, or a related field.
  • Experience or coursework in finance and budgeting.
  • Expertise with Microsoft Office and related programs to analyze and/or reconcile financial data.
  • Excellent organizational skills.
  • Excellent communication skills.

MINIMUM REQUIREMENTS:

  • Bachelor’s degree in public administration, finance, business, or a related field.

  • Experience or coursework in finance and budgeting.
  • Expertise with Microsoft Office and related programs to analyze and/or reconcile financial data.
  • Excellent organizational skills.
  • Excellent communication skills.

PREFERRED QUALIFICATIONS:

  • Master’s degree in public administration, finance, business, or related field.
  • Three (3) years of project management experience in a business setting.
  • One (1) year of experience working in a municipal finance office.

SALARY RANGE: $32.03 - $39.04 hourly, full-time, excellent benefits package
